We collect what we need to run your orders and your office work, we never sell your information, and we never collect Social Security numbers, bank account numbers, ID numbers, or immigration status. This policy explains what we collect, why, who helps us process it, and your choices.
01Who we are
Partner Supply USA, LLC (“Partner Supply”, “we”, “our office”) runs the store at partnersupplyusa.com, our WhatsApp, text and phone line (718) 925-1010, and the office services described in our Terms of Use. Contact: info@partnersupplyusa.com.
02Our office uses AI coordinators
Our desks (Alex, Maya, Dan, Sarah, Norma, Lisa and Mike) are AI coordinators. They read and answer your messages, voice notes and calls, and they draft paperwork. People in our office supervise them, and a person approves every price, order, booking, refund, and anything sent to a third party. If you ask whether you are talking to a person or an AI, we tell you.

Payments are handled by our payment processors. We do not store full card numbers, and we never take card numbers over the phone.
Location. For crew workers, location is taken only when the worker sends a pin to clock in or out. We do not track anyone all day.
04How we use it
- To fill orders, schedule deliveries and coordinate site services
- To answer messages and calls in your language, and remember your jobs and preferences
- To run Norma and Lisa for members who turn them on
- To send service messages, and marketing only where you agreed
- To keep records, prevent fraud and abuse, and meet legal duties
05What we share, and with whom
We never sell personal information and never share it for cross-context advertising.
- With providers you book: only the job details they need (address, scope, timing, photos). Your name, phone and company are not sent to suppliers unless you approve it for that booking.
- Between customers: never. One customer’s information is never shown to another.
- Members: Norma’s and Lisa’s records belong to the member who set them up. A crew worker sees only his own hours and pay.
- Service providers that process data for us, under contract: Shopify (store and checkout), Twilio and Meta/WhatsApp (messaging), Bland (AI phone calls), Anthropic and OpenAI (AI processing and voice transcription), Microsoft 365 (email), Dropbox (job files), Render (hosting) , Stripe (payments) — if adopted.
- When required: to comply with law, a court order, or to protect people’s safety or our rights.
- Business transfer: if the company is sold or merged, information may transfer with it under this policy.
06Texts, WhatsApp and calls
- We text, WhatsApp or call you about orders, jobs and your account. Marketing messages only with your consent.
- AI-voice sales calls happen only if you asked for a call in writing (for example, replying CALL ME or LLÁMAME).
- Reply STOP (or PARAR / ALTO) any time to stop texts and WhatsApp messages; tell us “don’t call” to be added to our do-not-call list. Message and data rates may apply.
- Calls with our AI phone line may be recorded and summarized to keep your file accurate. We say so at the start of the call.
- Norma contacts a member’s customer only where that customer agreed to be contacted in their contract or invoice, during business hours, at most once a day.
- Crew workers are tracked only after replying YES to their invite; STOP removes them.
07How long we keep it
- Order, invoice and account records: 7 years for tax and accounting
- Messages, call recordings and job files: for the life of your account plus 2 years
- Time and payroll records: 6 years, matching NY payroll record rules confirm with attorney
- Partner applications not accepted: 2 years
08Cookies
Our store uses cookies needed for the cart, checkout and login, and analytics cookies from Shopify to understand how the site is used. You can block cookies in your browser; checkout may not work without the essential ones.
09Security
Data is encrypted in transit, access is limited by role and logged, each desk can see only what its job needs, and our system blocks supplier and customer details from crossing over. No system is perfectly secure. If a breach affects your private information, we notify you as New York law requires (NY SHIELD Act).
10Your choices and rights
- Ask for a copy of your information, ask us to correct it, or ask us to delete it (we keep what the law requires us to keep)
- Turn off marketing messages at any time
- Members can turn Norma or Lisa off; workers can reply STOP

11Children
Our services are for businesses and adults. We do not knowingly collect information from anyone under 18.
12Changes
We will post changes here with a new date, and tell members by WhatsApp or email when a change is significant.
